If you need to invest too much time just to make your invoices, it's about time to introduce some project management system, or some other automatic feature which will let you do your invoices (and keep track of payment!) with just some clicks.

Spreadsheets and savings on bank charges Mar 29, 2007

I just keep an ongoing Excel spreadsheet for each client, so all I have to do is enter the word or line count and it calculates the final price and adds it up at the end. Then it's simple to just transfer the figures to an invoice template at the end of the month. I notify the customer of the word/line count with the job, of course. It certainly makes life easier for me (and, I would have thought, for the customer) and saves on bank transfer fees all round. My bank charges a fixed £7 for incomi... See more

I send the invoice with each delivery to 3 of my permanent but not everyday clients, and once a week to my prime client with whom I'm on schedule pretty much all year round. Also, next day after each "stray" interpretation assignment. In any case, I make sure my bank account gets refilled every week. This allows me to stay comfortable, avoid intermediate payments for large jobs, bill for the whole thing instead and get really fat checks once in a while. I use Translation Office 3000, so I do not have any extra effort to make if I issue in invoice on the same day of the translation or at the end of the month. For the sake of payments, I think that one big payment from any agency is better than many little ones.

As far as I know, there is a rule in Germany that invoices have to be issued within a month, and after that date you lose your entitlement to issue an invoice for the job concerned.

didn't know that, Astrid, so thaks a lot for mentioning it! anyway, I'm still quite cool because I am sure all my client will pay me despite the delay with the invoices - they always have so far.
